1. Introduction & Scope

This Privacy Policy explains how Clearlake Group Ltd ("Rook", "we", "us" or "our") collects, uses, shares, and protects your personal information when you visit joinrook.co(the "Site") or join the Rook waitlist. Rook is an AI BDR (business development rep) for B2B sales teams. This policy applies to the marketing site and waitlist only; it does not cover any separate product agreement you may enter into if and when the Rook product becomes available to you.

By using the Site or submitting your details to the waitlist, you acknowledge that you have read and understood this Privacy Policy.

2. Information We Collect

We collect the following categories of information:

  • Waitlist form data. When you join the waitlist you provide: first name, last name, work email address, company name, industry, and company size / headcount.
  • Usage & analytics data. When you browse the Site we automatically collect information such as your IP address, device and browser type, pages viewed, referring URLs, and interactions with the page. This is collected through our product analytics provider (see Section 5).
  • Cookies & similar technologies. We use cookies and similar technologies to operate the Site and to understand how it is used (see Section 5).
  • Communications. If you email us, we keep a record of that correspondence.

3. How We Use Your Information

We use your information to:

  • Operate, maintain, and secure the Site;
  • Manage the waitlist and your position on it;
  • Send you a waitlist confirmation email and, where permitted, updates about Rook's launch and availability;
  • Understand how the Site is used so we can improve it and our product;
  • Respond to your enquiries and provide support;
  • Comply with our legal obligations and enforce our terms.

4. Legal Bases for Processing (GDPR / UK GDPR)

If you are in the United Kingdom or the European Economic Area, we rely on the following legal bases to process your personal data:

  • Consent — for non-essential cookies/analytics and for sending marketing communications, where consent is required.
  • Legitimate interests — to operate and secure the Site, manage the waitlist, and understand and improve our product, in a way that does not override your rights.
  • Legal obligation — where we must process data to comply with applicable law.

5. Cookies & Analytics

We use PostHog for product analytics. PostHog may set cookies and collect usage data to help us measure traffic and understand how visitors interact with the Site. You can control cookies through your browser settings; disabling some cookies may affect how the Site functions. Where required by law, we will ask for your consent before setting non-essential cookies.

6. Third-Party Processors & Sub-Processors

We share personal information with the following service providers, who process it on our behalf and under contract:

  • PostHog — product analytics and usage measurement.
  • Attio — customer relationship management (CRM) to manage waitlist contacts.
  • Resend — transactional and marketing email delivery (waitlist confirmation and launch updates).
  • Vercel — hosting and delivery of the Site.

We do not sell your personal information. We only share it with these providers to the extent necessary for them to perform their services.

7. Marketing Emails & Opt-Out

If you join the waitlist, we will send you a confirmation email and may later send you updates about Rook's launch and availability. Every marketing email includes an unsubscribe link, and you can opt out at any time by clicking it or by emailing us at hello@joinrook.co . Opting out of marketing does not affect essential service-related messages (for example, important changes to this policy).

8. Data Retention

We retain your personal information for as long as needed to fulfil the purposes described in this policy — for example, to keep you on the waitlist and to contact you about launch — and thereafter as required to comply with our legal obligations, resolve disputes, and enforce our agreements. When information is no longer needed, we delete or anonymise it. You may ask us to delete your data at any time (see Section 10).

9. International Data Transfers

Some of our service providers are located outside the country in which you reside, including in the United States. Where we transfer personal data internationally, we rely on appropriate safeguards such as the European Commission's Standard Contractual Clauses (and the UK International Data Transfer Addendum where applicable), or transfers to jurisdictions recognised as providing an adequate level of protection.

10. Your Rights

UK / EU (GDPR / UK GDPR).You have the right to access, correct, update, or request deletion of your personal data; to object to or restrict certain processing; to data portability; and to withdraw consent at any time. You also have the right to lodge a complaint with your local supervisory authority (in the UK, the Information Commissioner's Office (ICO); or your local data protection authority if you are in the EEA).

California (CCPA/CPRA).If you are a California resident, you have the right to know what personal information we collect and how we use it, to request deletion of your personal information, to correct inaccurate information, and to opt out of any "sale" or "sharing" of personal information. We do not sell your personal information. We will not discriminate against you for exercising any of these rights.

11. Data Security

We use reasonable technical and organisational measures designed to protect your personal information against unauthorised access, loss, misuse, or alteration. However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.

12. Children

The Site is intended for business users and is not directed at children. We do not knowingly collect personal information from anyone under the age of 16. If you believe a child has provided us with personal information, please contact us and we will take steps to delete it.

13. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will revise the "Last updated" date above and, where appropriate, notify you. Your continued use of the Site after changes take effect constitutes acceptance of the revised policy.
